Jobs - Offering a Position

When you’re ready to make an offer to a suitable candidate, you can do so from the applicant’s detail page.

When offering a position, you can advise the applicant of certain details, such as salary offered, working pattern and probation period.


The applicant could choose to decline the position, which is also covered as part of this guide.

  • To offer the position to an applicant, click on Jobs on the side menu, followed by the Manage Vacancies sub-menu.
  • The list of current vacancies will be displayed, where you use the action button next to the job you’re focussing on and choose View Applicants from the action drop-down menu.
  • When viewing the applicants for the position, you may choose to view your short-listed candidates, using the filter controls on the page.
  • With your short-listed applicants visible, use the action button next to the candidate you’d like to offer the position to and choose Details from the corresponding drop-down menu.
  • The applicant’s details will be displayed.
  • At the bottom of the page, you can choose to Offer Position, which will load an on-screen wizard for you to complete.
  • The title and description of the job are included in the offer, as is the salary information and team manager.
  • The start date hasn’t been included, which means you’ll need to enter this, either by manually entering the date in DD/MM/YYYY format or selecting it from the calendar tool
  • Click next and move on to the next stage of the wizard, which is slightly different based on whether you’re offering the position internally or externally.


Offering Position Internally

  • When offering the position internally, a lot of the information will already be within MyPeople and against the employee record. Therefore, only certain pieces of information are required, as these may change if the position is accepted.
  • As you can see above, the work pattern, holiday scheme and probation information is required for the new role.
  • Enter the corresponding information by selecting these from the drop-down menu associated with each field and click next.
  • Finally, the email text to the candidate is displayed, with a default pre-defined message.
  • You could of course choose to change this, to add more detail, contact information or anything that you feel is suitable for the offer email. 
  • Click submit and the candidate will be notified by email.

 

Offering Position Externally

  • Offering the position externally is very similar to offering the position internally, but requires slightly more information.
  • After clicking Offer Position within the applicants details screen, the offer vacancy page is loaded.
  • Select the start date of the employment, by either entering the date manually in DD/MM/YYYY format, or by selecting it from the calendar tool.
  • Click next and some details will be required about the candidate.
  • Enter the required information similar to the example below and click next.
  • Finally, the email text to the candidate is displayed, with a default pre-defined message.
  • You could of course choose to change this, to add more detail, contact information or anything that you feel is suitable for the offer email. 
  • Click submit and the candidate will be notified by email.

 

After Offering a Position

  • After a position has been offered, under the view applicants screen, you’ll noticed that the status of the applicant is updated to Position Offered.
  • There could unfortunately be times when an applicant then declines the position. Should this be the case, you can mark the applicant with a status of Offer Declined.
  • By using the action button and corresponding drop-down menu next to the applicant, click details to view their applicant details page.
  • With the applicant’s details page loaded, you’ll notice that there is an option at the bottom of the page for Position Declined.
  • Clicking on Position Declined will display an on-screen form.
  • Select the reason the position was declined from the drop-down menu.
  • Enter any additional information as to why the offer was declined by the applicant.
  • Click OK and the applicant’s status will be set as Declined on the Applicants screen.
  • You could then choose to offer the position to another applicant, or wait until any further applicants apply.
